The Administrative Assistant II is the Rheumatology/Hospital Medicine office administrative teams. The position will need:
* Ability to multi-task, prioritize and function independently after training. * Excellent organizational skills, effective communication, professional, dependable and energetic. * Experience in Microsoft Word, PowerPoint, Excel and manage multiple Outlook calendars. * Organize flow of daily operations to ensure service priorities are met. This position's primary responsibilities are to insure the efficient, accurate and timely completion of tasks and projects requested by the administrative staff. The position requires a solid working knowledge of administrative and financial systems within the Monroe Carell Jr. Children's Hospital at Vanderbilt, the Vanderbilt University Medical Center and Vanderbilt University School of Medicine. This position is responsible for handling personnel and confidential information where the highest standard of confidentiality is expected at all times. As an employee at Vanderbilt, this position is required to exemplify the Credo attributes daily. Minimum Requirements:
This position requires an Associate's Degree and a minimum of 36 months of relevant experience. Preferred Skills and Experiences:
* Twelve months previous experience in the VUMC system is required * 24 months prior experience similar position is desired. * This position requires a well-organized and accurate individual that enjoys completing tasks and can multi-task. * This person must possess judgment in determining the priority and urgency of tasks assigned. * There is extensive contact with the entire Department of Pediatrics Faculty and Staff, MCJCHV community, and VUMC as a whole. It is essential they possess a pleasant and profession disposition and manner and are flexible to urgent requests and unforeseen circumstances. Key Functions and Expected Performances:
* Provide administrative leadership and direct services for development of multiple projects, timelines, evaluation and follow-up ranging from clinic operations, education, academic, etc. * Maintains calendars for faculty members. * Provide financial management support with monthly reconciliations, journal entries and budget preparation. * Initiates purchases and reimbursements for division. Additional Information:
This is a full-time position (40 hours per week). Shift Hours and Days TBD upon hire. Salary ranges from $11.47(min) - $15.92(mid) - $20.37(max) per hour; dependent upon years of education and experience. Background screens will be performed and education will be verified prior to employment. Please be prepared to provide required information and/or documentation. Experience may be substituted for education:
